How a Smart Email Parsing Solution Helped Me Manage Project Chaos
Hello to all the PMs,
I would like to discuss one of my recent breakthroughs when dealing with a multi-client marketing project. I am like most of you: I am bombarded day and night with an endless stream of emails sent by clients: tasks progress reports, attachments, deadline-reminders, last-minute changes, etc. Although I was working with a powerful project management tool, everything was becoming chaotic to manage.
It was at this point that I chose to consider a smart email parsing solution. I have also attached it to our common inbox and programmed it to automatically browse important data in the received emails, such as the deadline of tasks, customer names, and so on, including attachments. It then forwarded that information straight to our project management board (we use Trello + Zapier to be integrated).
The impact? Huge.
Rather than taking hours a day to sort through the dozens of emails, the system automatically creates and labels the tasks and puts them under the relevant team members. I have better opportunities to concentrate on strategic project planning as opposed to email triaging.
In case you have to serve many clients or teams at a time, I strongly suggest looking into a clever email parsing tool. It is a minor reform that can save you time and eliminate the possibility of overlooking crucial information that can be hidden in your inbox.
